The 6-Phase Order Label Management Workflow
Successful Flipkart sellers don't just "print labels and pack." They follow a systematic 6-phase workflow that minimizes errors, maximizes speed, and scales predictably:
Order Acceptance
Accept new orders on Seller Hub at fixed times (2–3 batches/day). This creates predictable work cycles.
Label Download
Bulk download all approved order labels as a single PDF. Verify order count matches.
Crop & Sort
Upload to EasyOrderLabel for auto-cropping and SKU sorting. Download cropped PDF + Excel picking list.
Print Labels
Print sorted labels on thermal printer. Print picking list separately for warehouse team.
Pick & Pack
Use picking list for batch picking. Pack items in SKU-group sequence following the sorted label order.
Dispatch
Organize packed orders by courier partner. Mark as dispatched on Seller Hub. Handover to courier.
Phase 1: Order Acceptance — Setting Up Batch Processing
The foundation of efficient label management is batch processing — accepting and processing orders in fixed time windows rather than reacting to each order individually.
Recommended Batch Schedule
| Daily Volume | Batches/Day | Recommended Times | Orders Per Batch |
|---|---|---|---|
| 20–50 orders | 1 | 10:00 AM | 20–50 |
| 50–150 orders | 2 | 10:00 AM, 3:00 PM | 25–75 |
| 150–300 orders | 3 | 9:00 AM, 1:00 PM, 5:00 PM | 50–100 |
| 300+ orders | 4+ | Every 2–3 hours during business hours | 75–100 |
Why batch processing? Accepting 100 orders at 10 AM and processing them all at once is 3× faster than accepting and processing orders one-by-one throughout the day. It eliminates context switching and lets your team focus on one task at a time.
Phase 2: Label Download — Bulk & Verify
After accepting a batch of orders:
- Go to Seller Hub → Orders → Ready to Dispatch
- Select all orders for the current batch using the "Select All" checkbox
- Click "Download Labels" to get a single combined PDF
- Verify: Check that the PDF page count matches the number of selected orders
- Save with a descriptive filename (e.g., "flipkart-batch1-sep13-120orders.pdf")
Common Issue: During Flipkart sales events, the Seller Hub can be slow and sometimes drops orders from bulk downloads. Always verify the page count. If it doesn't match, re-download in smaller batches (50 orders at a time).
Phase 3: Crop & Sort — The Key Efficiency Step
This is where 80% of the efficiency gains happen. Upload the downloaded PDF to EasyOrderLabel for automatic processing:
- Auto-Crop: Each label is cropped to 4×4 inches, removing tax invoices and margins
- SKU Sorting: Labels are grouped by product SKU and size — highest volume first
- Picking List: An Excel report is generated listing all SKUs with quantities
Phase 4: Print Labels on Thermal Printer
With cropped labels ready:
- Print the Excel picking list on a regular printer — hand it to your warehouse/picking team
- Print the sorted label PDF on your thermal printer (4×4 inch paper, 100% scale)
- Labels print in the same SKU-sorted order as the picking list, making matching effortless
Phase 5: Pick & Pack — Batch Packing
With sorted labels and picking list in hand:
- Your picking team uses the Excel list to batch-pick all items of SKU #1 at once
- They bring all items to the packing station where the sorted labels are waiting
- The packer attaches labels sequentially — all SKU #1 items get labeled first
- Move to SKU #2, repeat
- If a product is out of stock, the picker marks it and the packer skips those labels
Result: A 3-person team (1 picker, 2 packers) can process 200–300 orders in under 4 hours using this sorted workflow. Without sorting, the same team needs 8–10 hours for the same volume.
Phase 6: Dispatch — Organize & Handover
After packing is complete:
- Group packages by courier partner (Ekart, Delhivery, Shadowfax, etc.)
- Count packages per courier and note the numbers for verification during pickup
- Mark orders as "Ready to Dispatch" on Flipkart Seller Hub
- Schedule courier pickup or drop off at the nearest hub
- Keep a dispatch register noting: date, batch number, total orders, courier breakdown
Scaling Beyond 200 Orders/Day
| Volume | Team Size | Printers Needed | Key Focus |
|---|---|---|---|
| 50–100/day | 1–2 people | 1 thermal | Set up the basic workflow |
| 100–200/day | 3–4 people | 1–2 thermal | Dedicated picker vs packer roles |
| 200–500/day | 5–8 people | 2–3 thermal | Multiple packing stations, parallel SKU groups |
| 500+/day | 10+ people | 3+ thermal | Shift-based operations, QC checks, conveyor systems |
Common Label Management Issues & Solutions
| Issue | Cause | Solution |
|---|---|---|
| Wrong product shipped | Labels not sorted — packing is random | Use SKU sorting to pack identical items together |
| Labels smudge/fade | Low-quality thermal paper | Use 60–80 GSM direct thermal paper from reputable brands |
| Missed orders | PDF download didn't include all orders | Always verify page count vs order count after download |
| Courier scan rejection | Barcode scaled down or cut off | Print at 100% scale using cropped 4×4 PDF |
| Slow packing speed | Random label order, no picking list | Use EasyOrderLabel for sorted labels + picking list |
| Double-packing same order | No tracking system | Use the Excel picking list as a checklist — tick off each SKU |
